Most complaints fail for one of two reasons: they are sent to the wrong place, or they ask for something vague. This page is about fixing both.
What evidence should I gather before a casino complaint?
Assemble the file first. Every rung of the ladder needs the same material, and gathering it after you have lost account access is much harder.
- Account transaction history, exported or screenshotted
- The withdrawal request: amount, method, date, time
- Every chat transcript and email, with dates
- A screenshot of the terms clause being relied on, as it reads today
- Your licence-register screenshot, if you took one
Export it out of the account rather than relying on being able to log back in. Access is frequently removed at exactly the point a dispute becomes serious.
What should I include in a formal casino complaint?
One page. No adjectives. The structure that works:
- Who you are. Account username and registered email, nothing more.
- What happened, as dates. “Withdrawal of £X requested 3 September. Documents submitted 5 September. No payment as of 21 September.” A timeline is harder to dismiss than a narrative.
- What they said. Quote it, with dates. If explanations changed, show the sequence — that is your strongest single point.
- What you want. A specific sum, paid by a specific method, by a specific date. “Resolve this” is not a request anyone can act on.
- What you will do next. Name the regulator or mediator and the date you will file. Not a threat — a schedule.
Keep it factual even where you are angry. The person reading it at the next rung has no stake in your outcome and responds to evidence, not tone.
A casino withdrawal complaint template you can copy
Fill in the blanks, delete the lines that do not apply, and send it through the operator’s complaints channel — not ordinary live chat. Keep it to one page.
Subject: Formal complaint — account [username], withdrawal of [amount] requested [date]
I am making a formal complaint under your complaints procedure. Please treat this message as such and give me a complaint reference.
What happened. On [date] I requested a withdrawal of [amount] by [method]. On [date] I supplied [documents]. On [date] you told me [quote]. On [date] you told me [quote]. As of today, [date], the money has not been paid and no reason consistent with your terms has been given.
What I am asking for. Payment of [amount] to [method] by [date, 14 days from today]. If you say a term of your agreement prevents this, please quote the clause number and explain how it applies to my account.
Separately, [amount] of the withheld balance is money I deposited and have not staked, and I request its return.
Next step. If this is not resolved by [date], I will refer it to [the regulator named in your licence / an independent mediation service].
[Name] · [registered email]
Three details in it help. It says plainly that this is a complaint and asks for an acknowledgement, which helps record it as one. It asks for a clause, so that any refusal has to point at something specific. And it separates any unspent deposit from winnings. None of this guarantees a response or an outcome, but it gives the next person who reads the file a clear record.
Common mistakes that weaken a casino complaint
Worth knowing because each is easy to avoid and hard to undo.
- Multiple threads. Eight separate chats look like noise. One dated thread looks like a case, and it makes a changing story visible at a glance.
- Asking for “my money” without a figure. State the exact sum. Vagueness invites a partial offer you then have to argue about.
- Leading with the emotion. Understandable, and it gives the reader something to dismiss instead of engaging with.
- Skipping the operator's own process. Regulators ask whether you completed it. Skipping it sends you back and costs weeks.
- Waiting two months. Evidence ages, staff turn over, and you will be asked why you delayed.
- Threatening reviews. Operators receive that daily. It converts you from a complainant into a nuisance.
When should I take my casino complaint further?
| Rung | Needs from you | Realistic outcome |
|---|---|---|
| 1. Support | The question, in writing | Resolves genuine mix-ups; establishes the record |
| 2. Operator complaints | The one-page complaint | Often where it ends, well or badly |
| 3. Regulator | Evidence rung 2 failed | Depends entirely on the licence |
| 4. Mediator or forum | Documented, measured account | Public pressure; sometimes faster than 3 |
| 5. Payment provider | Deposit evidence | Recovers deposits, not winnings |
What rung 3 is worth varies enormously by jurisdiction — see dispute resolution by jurisdiction. Rung 5 has real consequences and is covered in gambling chargebacks.
Unspent deposits and changing reasons: points for your complaint
Separate any unspent deposit balance from winnings. If part of what is withheld is money you deposited and never staked, identify it and ask for it as a distinct request, with the basis for it. Deposits already gambled and lost are a different matter.
Point at the inconsistency, not the unfairness. “This is unfair” is an opinion. “On 8 September you said verification; on 12 September you said the payment provider; on 15 September you cited clause 14.3” is a finding. Regulators act on the second, because it is checkable.
What happens after I file a casino complaint?
Expectations, so the silence does not read as failure.
At rung 2, you should get an acknowledgement and a reference number, usually within a few days. If the operator publishes a response deadline, note it — a missed deadline is itself a point for rung 3.
At rung 3, expect weeks. The regulator will generally contact the operator rather than you, so the first sign of movement is often the operator, who had gone quiet, suddenly becoming responsive. Do not read silence from the regulator as inaction.
At rung 4, response times vary from days to never, depending entirely on whether that board is one the operator engages with. Check how it handles other complaints about the same operator before investing the effort.
Set a stopping point before you start. Decide now what you will do if rung 4 fails, and stick to it. Long disputes cost time and sleep. If you feel an urge to recover a loss by depositing elsewhere, free confidential help is on 0808 8020 133.
Common questions
Do I have to use the casino’s own complaints process first?
In practice, yes. Regulators and mediators both ask whether you exhausted it, and skipping it usually means being sent back to do it — costing weeks.
How long should I wait before escalating?
Give the operator its own published deadline plus a few days. If no deadline is published, fourteen days from a written complaint is a defensible point to escalate from, and you can say so in writing when you do.
Does threatening to post a bad review help?
No. Operators receive that daily and it weakens your position. A documented complaint filed with a mediator carries weight precisely because it is not a threat.
Should I open a new chat each time I follow up?
No. Reply on the same thread. One dated conversation reads as a case and makes a changing story obvious; eight scattered chats read as noise.
